The QuickBooks Interface is used to copy shipment data from QuickBooks invoices to Strategic Movements for route planning.


Hi! I’m Donna and today I am here to tell you about the QuickBooks interface for Strategic Movements.

This interface is used to import QuickBooks invoices with a specific shipping date to be assigned to delivery routes using Strategic Movements.

Before we can start importing invoices, there are two configuration steps.

First, in QuickBooks, go to the Invoice form and click the gear icon. The Choose what you use form will be displayed.

Click the Shipping box. Then close the form by clicking on the X in the upper right corner.

Then, in Strategic Movements, go to the My Profile menu, and select QuickBooks Parameters.

In this form, there are three fields used to control which invoices are imported.

If you check All Shipments to Strategic Movements, the Ship via field is ignored and all invoices will be imported.

If you do not check this box, then you can enter a specific ship via code. Only the invoices with this code will be imported.

The QuickBooks invoices cannot be directly searched by shipping date. To ensure that enough recent invoices are searched during the import process, the Invoice Search Days field is used to specify how far back invoices will be searched for the specified shipping date. For example, if you want all invoices from the past 30 days to be searched, enter 30 here.

Then click the Save Configuration button to save these parameters.

Once the configuration is complete, you can enter invoices in QuickBooks. Let’s take a look at one of these invoices.

To have the invoice be processed in Strategic Movements, specify the shipping date.

If only one specific ship via is being used, enter it as well.

By default, the customer’s bill to address is used as the ship to address. If the shipment is to be made to a different address, enter it here.

After the invoices have been prepared, open Strategic Movements and create a plan for the shipping date using the Create New link.

Enter the name of the plan and the date.

And then click on the Create Plan button.

In the plan, select Jobs.

And then Import from QuickBooks.

Before the actual import starts, you will be redirected to the QuickBooks login screen. Enter your QuickBooks name and password. If these entries are valid, the upload process will start.

After entering your name and password, click on the Import button. The invoices for the specified date will be uploaded.

After the upload has completed, you will the results.

Click on the Close button to see a list of the Strategic Movements jobs created from the QuickBooks invoices.

Since there is no way to specify an estimated work time in QuickBooks, you may need to change the work time on some jobs. Click on the Edit link for the job to make this change.

When done, click on the Back to List link to return to the list of plans.

Here, you can use any of the Strategic Movements tools to plan the routes.

Let’s click on the Submit link to do dynamic routing.

The status changes during the phases of this process.

And when done, you can view the assignments using the Dispatch Board link.

The QuickBooks Interface. From the order entry and invoices produced in QuickBooks, you can now have efficient routes that are planned with no human intervention other than a few mouse clicks.
